Everything a firm needs to get documents signed and shared.

Signing

• Any PDF. Upload a document, place fields for signature, initials, date, name, text, tick boxes and company stamp, and give each field to one signer.
• Several signers. Add as many people as the document needs, each with the capacity they sign in, such as director or trustee.
• No account for signers. Each signer gets a private link by email.
• Access codes. For sensitive documents, ask for a code that you give the signer by phone or text, so the email alone is not enough.
• Deadlines and reminders. Set a deadline. Reminders go out by themselves before it, and you can send one by hand. You can move a deadline later, never earlier.
• Sign on a phone. A signer at a laptop can scan a code and draw their signature on their phone.
• Audit certificate. When everyone has signed, Signpane adds a certificate that records who signed, when and from where, and the fingerprint of the document before and after signing.
• Verification page. Anyone holding a signed copy can check it against our record. The check runs in their browser, so the document never leaves their computer.
• If the document changes, the request stops. Nobody can sign a version they were not sent.

Clause forms

For authorities and consents, write the wording once as a template. Signers tick each clause on its own, so you know exactly what each person agreed to. Editing a template never changes what someone already signed.

Client portal

• Clients and their people. Keep each client (a company, trust, partnership, sole trader or person) with the people who act for it and their roles.
• Sign-in by emailed code. Give a client's contact a login in one step. They sign in with a code sent to their email. No passwords to forget.
• Documents in one place. Everything you send and everything they upload, with earlier versions kept.
• Document requests. Ask a client for a file, and see what is still to come.

Identity checks

Record that you checked who a person is, the evidence you saw and who they act for. A later check is added as a new record; nothing is overwritten. Useful for AML/CFT in New Zealand and AML/CTF in Australia. Signpane keeps the record; the check itself is still yours to do.

Your brand

• Your own web address, such as docs.yourfirm.co.nz.
• Your logo and colours on every page, email, signing page and certificate.
• Emails come from "Your Firm via Signpane", and replies go to your own address.
• A small "Secured by Signpane" line in the footer.

Your staff
